How we work

The same approach for every setup

We start every engagement by looking at your current process — how you manage deliveries or how your customer records are structured — before we design anything. What you have now shapes what we build.

We agree the scope in writing before work starts, and we include a comparison or review period in the setup so your staff can evaluate the output before it goes into active use. Nothing changes in your operations until your team is comfortable with what the setup produces.

If you take the monthly maintenance arrangement, you receive a short written note each month. Anything concerning gets raised directly, not saved for the monthly cycle.

For businesses running their own vans or riders around a town. The aid suggests a running order for the day's drops based on addresses, time windows and what your driver already knows about the roads. The suggestion is a starting point — the driver can adjust it, override it, or set it aside on any given day.

Long service histories condensed into a short readable summary at the top of each customer record, so whoever picks up the phone knows the story without reading nine months of notes. The full history stays untouched underneath and every summary links back to the notes it drew from.

Scope covers your existing records, agreement on what a summary should always mention — such as outstanding complaints or preferred contact method — and a review round where your staff mark summaries that missed something important.

Maintenance

Waterline: all decisions about what to keep or change remain with you

A monthly maintenance arrangement covering the setups we have built for you. We check that connections to your other systems still hold after their updates, review a sample of output for drift, apply corrections your staff have logged, and keep a running record of costs against use.

You receive a short monthly note on what was checked. We raise anything concerning as it appears rather than saving it for the monthly cycle. No minimum term — the arrangement can end at any month end.
