Why Perahu Systems
Tools that hold up once the setup is done
What we offer is not complicated — but the details of how we work make the difference between a tool your staff trust and one that gets ignored after the first month.
← Back to homeThe short version
Six things that matter when you are choosing an AI integration provider
People who have done this with small businesses before
Our work comes from experience with small operations in Kedah — courier businesses, service firms, small retailers — not enterprise projects scaled down.
Scope agreed in writing before work starts
Every engagement begins with a written description of what we will build. Changes to scope are agreed before work on them starts.
Fixed prices with no hidden extras
Setup prices are fixed. Monthly maintenance is a flat monthly fee with a running record of costs against use shared with you.
Output your staff can check
Summaries link to the notes they drew from. Schedules show which constraints were applied. Nothing is a black box.
Maintenance by a person each month
A member of our team reviews a sample of output and checks connections monthly. Automated monitoring supports this but does not replace it.
No minimum term on maintenance
You can stop the maintenance arrangement at any month end. The setups remain with you. We do not build dependencies that make leaving difficult.

What each of those points means in practice
Built on experience with small operations, not scaled-down enterprise work
Small businesses in Kedah face constraints that large businesses do not — no dedicated IT staff, records kept in spreadsheets or basic software, staff who take on multiple roles and do not have time for a complex onboarding process. We started with those constraints, not with enterprise AI and a plan to simplify it.
- Experience with courier and delivery operations in Alor Setar and Sungai Petani
- Familiarity with the record-keeping patterns of small Malaysian service businesses
- Staff handover and review sessions designed for people with limited free time
A comparison period before you commit to the change
For the Delivery Scheduling Aid, the setup fee includes a week of running the suggested routes alongside your current method, so drivers and coordinators can compare before anything changes. For Customer Note Summaries, the review round gives staff the chance to mark what the summaries missed before they go into use.
- Comparison week included in the Delivery Scheduling Aid price
- Staff review round included in Customer Note Summaries
- Nothing goes into active use without your team's sign-off
Connects to what you already use
We work with your existing delivery logs, customer record systems, and spreadsheets rather than asking you to move everything into a new platform. Most setups connect to common small business software used in Malaysia, and we check after each update to your other systems that connections still hold.
- No new platform required on your side
- Connection checks after third-party software updates
- Compatibility confirmed before setup begins
Staff feedback is part of the system, not an afterthought
Your staff know when a summary has missed something important or when a route suggestion does not fit the situation. We build a logging process into each setup so those observations are collected, and we apply corrections on a regular cycle. The setup improves because of what your team notice, not despite it.
- Feedback logging built into each setup
- Corrections applied during the monthly maintenance cycle
- Maintenance note records what was corrected and why
Fixed prices, running cost record, no minimum term
The setup prices for both the Delivery Scheduling Aid (RM 126) and Customer Note Summaries (RM 350) are fixed and cover the complete scope, including the comparison or review period. Monthly maintenance at RM 620 includes a running record of costs against use so you can see where the money goes. There is no minimum term on maintenance.
- Delivery Scheduling Aid: RM 126 complete
- Customer Note Summaries: RM 350 complete
- Monthly maintenance: RM 620, no minimum term

What sets us apart
Three things you will not find everywhere
The waterline principle
Every setup we build shows, plainly, what share of the task remains with your team. We call this the waterline — the point below which the tool works and above which your staff decide. That line is never hidden.
Monthly notes in plain language
The monthly maintenance note is written for business owners, not technical staff. It says what was checked, what was corrected, and anything we think you should know. No jargon, no padding.
You own what we build
The setups and their configurations belong to you. If you stop maintenance, they do not stop working. We do not retain any proprietary control over the tools we have built for your business.
